What we collect
From the enquiry form: name, email, chosen engagement, clinic or group name, and your message. During an engagement we also hold the names and work emails of your nominated contacts, and any staff names that appear in quotes you have approved. We do not seek clinical records of patients. Observation notes describe processes, not named patients.
Why we use it
We use enquiry data to reply and to prepare a fee note. We use engagement contacts to schedule observation, send drafts, and issue invoices. The lawful bases are steps toward a contract and legitimate interests in running a professional practice. Cookie use is described on the cookies page.
Retention
Unsuccessful enquiries are deleted after 18 months. Contracts, invoices, and issued reviews are kept for seven years for tax and professional record-keeping. Observation notebooks that contain no patient identifiers are kept with the engagement file for the same period, then destroyed.
Your rights
You may ask for a copy of your personal information, ask us to correct it, object to certain uses, or ask for erasure where the law allows. You may complain to the Information Commissioner’s Office in the United Kingdom.
International transfers
We store files in the United Kingdom or in the European Economic Area. If a processor outside those places is used, we will rely on a lawful transfer mechanism such as the UK International Data Transfer Addendum.
Sharing
We do not sell contact lists. We share information with accountants, insurers, or lawyers when required to run the practice or to meet a legal duty, and with a client’s nominated staff as part of the engagement.
